GRANTS PROGRAM COORDINATOR

RESPONSIBLE TO: Director of Grants Program Administration & Compliance

PRIMARY FUNCTION: Assist the grants department with grant compliance, reporting, and data entry.

KEY ROLES (Essential Job Responsibilities):

Grant compliance and reporting:

  • Assist with document(s) maintenance including filing
  • Conduct club visits as needed
  • Review grant documents for completeness and accuracy
  • Coordinate grant audit preparation
  • Assist with monthly or quarterly reporting for all government and educational grants
  • Support with trainings and orientation of program staff
 

Grant data entry (CSC Summer M.O.S.T program):

  • Input club members’ personal information into SAMIS
  • File all members’ application
  • Maintain all accurate billable units of service via Kidtrax attendance and sign-in sheets
  • Communicate with all CSC funded staff for record keeping
  • Communicate with accounting department to ensure accuracy of members’ attendance
  • Close out all members’
 

Grant coordination (OJP, DJJ, DCF, Snack & Supper):

  • Coordinate grant required events with club staff
  • Help with submission of youth attendance reports
  • Review submitted reports for accuracy and completeness
  • Assist in the maintenance of the Program Management Files
  • Day-to-day monitoring of grant paperwork from clubs
  • Assist with ordering supplies for club staff
  • Collect information needed to complete weekly reports
 

SKILLS/KNOWLEDGE REQUIRED:

  • Must be able to accurately type 45 words per minute
  • Must be able to keep accurate records with all CSC members’ applications using SAMIS system
  • Bachelor’s Degree from an accredited university preferred
  • A minimum of one year of grant or related experience preferred
  • Must be proficient in Excel, Microsoft Word, and PowerPoint
  • Ability to work with different personalities at the Clubs and with other grantors/vendors
  • Ability to work effectively and be flexible in intermittently fast-paced, rapidly changing, and deadline-driven environment
  • Ability to work independently and develop solutions to issues that arise
  • Ability to generate and implement methods for improving current processes and/or programs
 

PHYSICAL AND MENTAL REQUIREMENTS:

The duties above indicate the essential functions of the job. Position requires a high level of energy, endurance, and patience; comfortable working with different personalities in both formal and informal environments. Good reasoning abilities and sound judgment are required. Ability to model appropriate behaviors at all times. Ability to address and de-escalate crisis is needed. Physical requirements include sight, hearing, sitting for over two hours plus per day. The job occasionally requires stooping, bending; some light lifting, such as three or four reams of paper, binders, position-related supplies, up to 20 pounds may be required. Travel is required.
